Position Summary
Our client is seeking a highly organized and detail-oriented Controller & Customer Operations Specialist to support our growing U.S. operations.
This hybrid role blends financial oversight and accounting discipline with customer-facing order management and service coordination. The ideal candidate is equally comfortable managing financial controls and serving as a key point of contact for customers, ensuring a seamless experience from order placement through delivery and after-sales support.
This position plays a critical role in maintaining compliance with financial policies while delivering a high standard of service and operational excellence.
Key Responsibilities
Financial & Controller Functions
- Manage day-to-day accounting operations using QuickBooks and Microsoft Dynamics 365 (CRM/ERP)
- Maintain accurate financial records, including:
- Accounts receivable and payable
- Invoicing and collections
- Expense tracking and reconciliation
- Ensure adherence to Lifco financial controls and reporting standards
- Prepare monthly, quarterly, and year-end financial reports
- Monitor cash flow and support budgeting and forecasting activities
- Coordinate with external accountants and headquarters in Germany
- Oversee credit terms and ensure compliance with company payment policies (e.g., Net 30 / Net 45)
Customer Service & Order Management
- Serve as a key point of contact for customer inquiries and support
- Process customer orders from entry through fulfillment
- Coordinate cross-functionally with:
- Internal sales team
- Service department
- Warehouse and logistics partners
- Headquarters in Germany
- Communicate order status, delivery timelines, and backorders
- Support service scheduling and follow up on maintenance requests
- Resolve customer issues professionally, escalating when necessary
- Maintain accurate and up-to-date records in Microsoft Dynamics 365
Operational Support
- Assist with inventory tracking and coordination across the global supply chain
- Ensure pricing accuracy and alignment with company policies
- Support and enforce internal processes related to:
- Order approvals
- Payment terms
- Documentation and compliance
- Identify and contribute to process improvements across finance and customer experience
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field
- 3–7+ years of experience in accounting, finance, or controller-level responsibilities
- Experience in customer service, order management, or inside sales support
- Strong proficiency in QuickBooks and Microsoft Office
- Experience with CRM/ERP systems (preferably Microsoft Dynamics 365)
- Excellent communication, organizational, and problem-solving skills
- High attention to detail with the ability to manage multiple priorities
- Self-motivated and able to work independently in a fast-paced environment
Preferred Experience
- Experience in manufacturing, distribution, or industrial equipment industries
- Familiarity with international business operations and coordination with global headquarters
- Understanding of credit management, payment terms, and collections processes
