Job Description

Location - Northeast Milwaukee
Schedule: Mon-Fri 8am-5pm
Pay Rate: $20/hr

JOB SUMMARY
 
The Administrative Assistant works independently with the Project Director and is responsible for undertaking clerical office duties, including data entry, note taking, calendar keeping, copying, scanning and filing.
 
JOB DUTIES AND RESPONSIBILITIES
 
  1. Organize and schedule meetings
  2. Take detailed minutes from meetings
  3. Write and distribute email, correspondence memos, letters, faxes and forms
  4. Assist in the preparation of regularly scheduled reports
  5. Develop and maintain a filing system
  6. Entering information into database
  7. Answer and direct phone calls.
  8. Update and maintain office policies and procedures
  9. Supports team by performing tasks related to the organization 
  10. Maintain and order office supplies 
  11. Maintain contact lists
  12. Submit and reconcile expense reports
  13. Photocopies for audits and invoicing.
  14. Maintains all general office files as required
  15. Any additional duties as assigned
JOB REQUIREMENTS
 
  1. Must adhere to the highest level of confidentiality and ethics with all data and information
  2. Proficient in typing and word processing
  3. Knowledge of effective filing systems
  4. Ability to act professionally in the execution of all level of job responsibilities
  5. Excellent time management skills and the ability to prioritize work
  6. Attention to detail and problem solving skills
  7. Excellent written and verbal communication skills
  8. Strong organizational skills with the ability to multi-task
                
QUALIFICATIONS
 
  1. High School diploma and work experience in business office
  2. Office and computer application skills required
  3. Proven experience as an Administrative Assistant or Office Admin Assistant
  4. Working knowledge of office equipment, like printers and fax machines
  5. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
